How the email system works.
How it works
When you connect your email (Gmail or Outlook), the platform monitors your inbox every two minutes. Incoming emails are automatically classified as actionable or non-actionable. Actionable emails appear in your Inbox with a suggested workflow and a one-click “Run” button.
The flow: email arrives → classified → appears in Inbox → you click Run → workflow produces a deliverable → you review → draft created in your email → you send.
How emails are classified
Each incoming email is analyzed for:
- Intent — Is the sender asking for something, making a request, following up, or just sending information?
- Actionability — Does this need a response or deliverable? Newsletters, auto-replies, and FYI messages are filtered out.
- Urgency — Is there a deadline mentioned? “ASAP”, “by tomorrow”, or specific dates are detected.
- Workflow match — Which workflow best handles this request?
Emails are sorted into categories: ready to run (green checkbox), needs your input (amber), and see options (gray). You decide what to act on.
The inbox
The Inbox page shows all actionable emails waiting for your attention. For each item you can:
- Run — Execute the suggested workflow with one click
- Review — See and edit the workflow output before sending
- Dismiss — Skip this email (already handled or not relevant)
You can also select multiple items and run them all at once with “Run all.”
Approving and sending
After a workflow runs, you see the output preview. You can:
- Edit with AI or edit directly if anything needs adjustment
- Click “Looks good” to proceed
- Choose a delivery format (email reply, PDF attachment, etc.)
- A draft appears in your Gmail or Outlook — review it and click Send
You always have the final say. Nothing is sent without your approval.
Sensitive data protection
The system automatically detects sensitive information (PHI, financial PII, legal identifiers) before any processing. Emails containing sensitive data are quarantined and never sent to the AI. You can review quarantined emails in Settings.
